AI Automation Services

We design, build, and monitor AI automation for the work your business repeats: operations, customer conversations, sales, and the systems that connect them.

Overview

What AI Automation Services Cover

AI automation services cover the work a business repeats. Not the decisions, and not the relationships. The steps in between, where somebody moves information between systems that were never built to talk to each other.

Rank4Sure splits that work into twelve services across three areas. Each is scoped and priced on its own, and most clients start with whichever process is costing them the most hours.

In one sentence

AI automation services are consulting and engineering services in which specialists map a business process, build software that uses AI to handle the repetitive parts of it, and stay responsible for testing and monitoring that software once it is live.

Why it matters

Why Automation Projects Succeed or Fail

Rarely on the technology. Almost always on a process nobody mapped, a boundary nobody set, or a build nobody owned afterwards.

The process is mapped before anything is built

Automating a process nobody has written down preserves whatever was wrong with it and then repeats that fault faster. Our first deliverable is always a map of how the work happens today.

Judgment stays with people, repetition moves to software

Models are dependable at reading, sorting, and drafting, and unreliable at deciding what to do when a situation is unusual. We agree where that line sits with you rather than setting it for you.

Automation nobody maintains becomes a liability

Suppliers redesign their invoices and APIs change without notice. Every build ships with monitoring, alerting, and a scheduled review, because unattended automation degrades quietly.

Operations

Automating How Your Business Runs

Four services covering the internal work that repeats every day. Each one starts with our consultants watching the process as it actually runs, not as the procedure document describes it.

AI Business Automation

AI business automation finds the repetitive tasks inside a company and rebuilds them as software our team designs, configures, and monitors.

The cost is rarely one large task. It is forty small ones: copying figures between systems, chasing approvals by email, retyping orders that arrived as PDFs. Our consultants observe the work first, rank each process by the hours it would return, and build only what earns its place. Everything goes live with monitoring attached.

Our roleAn operations consultant owns the process map and signs off every build against it.

AI Business Process Automation (BPA)

AI business process automation rebuilds a full end to end process, such as procure to pay or employee onboarding, as one governed flow with an audit trail.

Scope separates this from smaller automation work. A purchase request crossing finance, a department head, and a supplier portal touches four systems and three approval rules, so automating one hop of it just moves the queue further along. Our analysts model the whole process, informal exceptions included, and agree the decision rules with the department that owns them.

Our roleAnalysts set the value and confidence thresholds that decide what stops for a person, reviewed with you quarterly.

AI Workflow Automation

AI workflow automation connects the tools your team already uses, with AI handling the interpretation steps that fixed rules cannot cover.

A rule can move a file when it lands in a folder. It cannot read that file, recognise an invoice from a supplier on credit hold, and route it with a note explaining why. Teams already running Zapier, Make, or Power Automate usually arrive at exactly this ceiling. Our engineers build past it, version controlled, with a fallback path on every step.

Our roleAn engineer tests each workflow against your own historical records before it touches live data.

AI Document Automation

AI document automation reads incoming documents, extracts the fields that matter, checks them against your records, and files the result.

Paperwork arrives in whatever shape the sender chose: scanned invoices, photographs taken in a warehouse, contracts with the payment terms on page nine. Somebody retypes it, and retyping is where the errors enter. We train extraction on your own documents rather than a generic sample, then score confidence field by field so uncertain values queue for review instead of posting.

Our roleOur specialists set the threshold per field and audit a sample of the output every month.

Customer experience

Automating Customer Conversations

Four services covering what customers ask before, during, and after a sale. All four are built with the handover to a person designed first, because that moment decides how the whole experience is remembered.

AI Customer Support Automation

AI customer support automation resolves the repetitive share of tickets and chats, and routes the rest to the right agent with the context already gathered.

A handful of questions account for most of any support queue: order status, password resets, delivery dates, refund policy. The answers already exist, and agents retype them forty times a day. We classify incoming messages by intent and urgency inside the helpdesk you already run, and answer only the categories you approve. Sensitive replies are drafted for an agent to edit and send.

Our roleA support lead decides which categories run automatically, and we test every escalation path first.

AI Chatbot Development

AI chatbot development builds an assistant for your site, app, or messaging channels that answers from your own documented content instead of general knowledge.

Generic bots damage trust quickly. A visitor asks whether you ship to Ireland, receives a confident answer that is wrong, and support spends a week undoing it. Our developers ground the assistant in a curated knowledge base, restrict retrieval to those sources, and cite the page each answer came from. Anything outside that scope hands over to a person with the conversation attached.

Our roleOur team curates the source content and reads the early transcripts to see where it stumbled.

AI Agent Development

AI agent development builds software that completes a multi-step task on your behalf, working inside limits our engineers define and log.

A chatbot answers a question. An agent looks up an order, checks stock in a second system, drafts a replacement, and books the courier collection. That capability is exactly why the boundaries matter more than the model. We list the tools an agent may call and write explicit stopping conditions: spend limits, records it cannot touch, and actions that always need approval.

Our roleEngineers define what the agent may do, and a person reads the run logs every week.

AI Appointment Booking Automation

AI appointment booking automation turns an enquiry into a confirmed appointment in your calendar, then works to keep it from being missed.

Bookings are lost in the gaps. A message arrives at nine in the evening, gets answered at eleven the next morning, and by then the customer has booked with whoever replied first. We connect the flow to your live calendar using your real rules on durations, staff skills, buffers, and travel, then run reminders tuned against your own no-show history.

Our roleWe set the scheduling rules with whoever runs the diary, because they know the exceptions.

Revenue systems

Automating Sales, Marketing, and the Systems Behind Them

Four services covering the pipeline and the plumbing underneath it. Strategy stays with your team and ours. What moves to software is the execution.

AI Sales Automation

AI sales automation lifts research, call logging, and follow-up admin off a sales team so selling hours go back into selling.

Ask a sales team where the week went and the answer is rarely selling. We automate the recording layer first: calls transcribed, summaries written into your CRM's own fields rather than a free-text note, next steps created as dated tasks, and prospect research compiled before the call instead of during it. The pipeline starts matching reality, which is what makes a forecast worth reading.

Our roleDrafts are prepared in the rep's own voice, and the rep is the one who sends them.

AI CRM Automation

AI CRM automation keeps the customer record accurate without manual upkeep, handling enrichment, deduplication, scoring, and routing.

A CRM decays from the day it goes live. Duplicates multiply, fields empty out, deals stay open months after closing, and once the report stops matching what the team sees, everyone quietly keeps a private spreadsheet instead. Our specialists audit the data first, then build the merge, enrichment, scoring, and routing rules, weighted to what your won deals actually had in common.

Our roleA specialist recalibrates the scoring model against closed deals each quarter.

AI Marketing Automation

AI marketing automation runs the campaigns that respond to behaviour: email and SMS sequences, segmentation, lifecycle messaging, and send timing.

Batch and blast marketing survives because proper segmentation is laborious. One newsletter goes to everybody, the same offer reaches a customer who bought that item last week, and unsubscribes climb. We build segments from behaviour, model send timing per contact, and set suppression rules so nobody receives three messages in an afternoon from three separate flows.

Our roleYour marketing lead approves every sequence. Automation decides timing, people decide what the brand says.

AI API Integration

AI API integration is the engineering that connects your systems to each other and to AI services, so data moves reliably instead of by hand.

Automation fails at the joins. Two products both advertise an integration, then one sends a field the other cannot parse, or a rate limit quietly drops every hundredth record, and nobody notices until a customer does. Our developers handle authentication, retries with backoff, and idempotency, so a repeated call cannot duplicate a record. Errors alert a person instead of failing silently.

Our roleA second engineer reviews every integration before release, and we monitor it afterwards.

How We Build an Automation

Six stages on every engagement, whether it is one workflow or a process crossing four departments. The named owner is the person accountable for that stage.

01 Operations consultant

Process discovery

We sit with the people doing the work and time each stage, because interviews miss the shortcuts staff have stopped noticing they take.

02 Solutions architect

Feasibility and scoring

Each process is scored on volume, error rate, and how stable its rules are. Some we advise you not to automate, and that reaches you before any quote.

03 Automation lead with your process owner

Design and decision rules

Confidence thresholds, approval points, and escalation routes are written down and signed off by whoever owns the process today.

04 Automation engineers

Build and test

Building runs in a sandbox against copies of your real data, tested on the awkward paths as well as the ordinary one.

05 Engineer and process owner

Controlled release

Live running starts on a slice of the work with a person checking output daily, widening only while the error rate holds.

06 Your account engineer

Monitoring and review

Alerts fire on failures and on the drift that precedes them, reviewed with you monthly through the first quarter.

Common questions

Questions Businesses Ask Before Automating

A single workflow runs from discovery to live operation in two to four weeks. A process crossing several departments takes eight to sixteen, most of it spent on discovery and testing rather than building. Any timeline quoted before discovery is a guess.

Not on the projects we take. What automates well is the work people already resent: retyping, chasing, and copying between systems. Teams absorb more volume without adding headcount, and specialists move onto the exceptions that need judgment.

Every build has a confidence threshold and an escalation path set before launch. Below the threshold an item stops and waits for a person, with the original shown alongside it. Failures alert us and you, because silent failure is the expensive kind.

Rarely. Most engagements connect the systems you already pay for. We recommend replacing a tool only when its API cannot support what you need, and we explain the specific limitation rather than proposing a rebuild by habit.

You do. Accounts, code, documentation, and credentials are in your name throughout, and handover includes a walkthrough with the people who will run it. If you take support elsewhere, nothing you paid for leaves with us.

Scope follows discovery and price follows scope. Single workflow builds sit at the lower end, full process automation at the higher end, and ongoing monitoring is quoted separately as a monthly figure. You get a fixed price per phase.
